Privacy Notice
Applies to the Transpharm new customer application form.
Who we are
Transpharm (Pty) Ltd is the responsible party that processes the information you submit through this application form. The information is used to assess and open a new customer account.
Information we collect
When you complete this application we collect:
- Business details — legal name, trading name, registration number, VAT number, type of entity, nature of business
- Primary contact details — name, designation, telephone, mobile, email, website
- Director / owner details — names, identity numbers, mobile, email, citizenship status, identity documents
- Postal and delivery addresses
- Practice, pharmacy, veterinary or nursing registration details specific to your business type
- For credit-facility applications: the credit limit you request
- Supporting documents you upload (e.g. CIPC documents, ID copies, registration certificates)
Why we collect it
- To verify the legal existence of the business and the identity of its directors
- To meet our obligations under South African legislation (Companies Act, FICA, the Medicines Act and related regulations)
- For credit-facility applications, to perform a credit assessment
- To process and deliver future orders once the account is open
Who sees it
The information is stored in our customer relationship management system (Bitrix24) and is used by Transpharm's accounts team. We do not sell your data and we do not share it with third parties for marketing purposes.
For credit-facility applications you authorise us, in the declaration section of the form, to share information with registered credit bureaux and to obtain credit reports.
How long we keep it
- Application records: for as long as the account remains active, plus the period required by South African tax and company law (typically five years after account closure)
- Email-verification sessions: automatically removed when you submit, or after two hours of inactivity
- Saved drafts: automatically removed 48 hours after you last edited them
Cookies
This site uses a single cookie, tp_otp_session,
to remember your email-verification status during the application. It is strictly necessary —
without it, the verification code we email cannot be matched to your browser session.
- HttpOnly — not accessible to JavaScript or third parties
- SameSite=Strict — never sent in cross-site requests
- Secure — sent only over HTTPS
- Automatically deleted when you submit the application, or after four hours of inactivity
We do not use analytics, advertising, or third-party tracking cookies.
Your rights
Under the Protection of Personal Information Act (POPIA), you have the right to:
- Request a copy of the personal information we hold about you
- Request correction of any information that is inaccurate
- Request deletion of your information, subject to legal retention requirements
- Object to the processing of your information
- Lodge a complaint with the Information Regulator of South Africa — inforegulator.org.za
